New VoIP system deployed for Vincent & Gorbing in 4 working days

About Vincent & Gorbing

Vincent and Gorbing provide architecture, interior design, town planning and urban design services to private and public sector clients throughout the UK. As architects and town planners, the firm understands and believes in the importance of planning and designing better buildings and spaces that positively affect the lives of those working and living in and around them.

The requirement

A long-term client of Alliance Solutions, Vincent and Gorbing had been discussing moving to a new Voice over IP (VoIP) telephone system for around 12 months, but other business IT requirements and been prioritised.

When the firm’s legacy LG phone system crashed one Thursday in November 2019, they were suddenly left without an office-based voice telephony system. The urgent responsibility for finding a solution fell to Vincent and Gorbing’s IT Manager, Howard Absolon.

The solution

Howard called an engineer out to site, but it was clear that repairing the legacy telephony system would not be feasible. As a new telephony solution was required, it seemed logical to take the opportunity to move to a VoIP system, so Howard put together a high-level tender document and invited competitive bids. Within 4 hours, he received a response from Alliance Solutions, which included a short-term solution to route all incoming calls to a central mobile phone so that calls could be distributed to staff and returned to clients.

With the short-term call routing solution in place, Howard chose to proceed with Alliance Solutions, who then spent the next 48 hours scoping a new VoIP solution which could be feasibly and quickly deployed to every employee.

The benefits

The immediate benefit of working with Alliance Solutions was that from the initial phone system crash on Thursday, Vincent and Gorbing had a fully rolled out VoIP system by the following Tuesday.

Having specified, scoped and gained approval for the new VoIP system on Friday, Alliance Solutions responded quickly to place orders for handsets, the VoIP server and management software and established that Vincent and Gorbing’s existing leased line broadband could be used for VoIP.

By Tuesday, the solution was configured and deployed to all of Vincent and Gorbing’s 30 employees and the firm’s central reception. Staff were also enabled in the use of a Smartphone app for unified communications and benefited from personal voicemail and softphones as well as the ability to work remotely as easily as at the office.

“In less than 4 working days, and under immense pressure, Alliance Solutions managed to scope, price, order and deploy a fully working VoIP telephony system for us.

“Our relationship with them has paid for itself many times over. It’s extremely good to know that we can always depend on them to deliver our IT support when we need it most.”
